Who we are
The Conway Club, founded in 1910 for former cadets of the training school ship, HMS Conway. Hereinafter may be referred to as the Club.
What is GDPR
The European Union General Data Protection Regulation (GDPR) is a set of rules about how a company, business or organisation should process and use the personal data of its staff or members. GDPR assigns right to regulators to ask for demonstrations of accountability and may impose fines where an organisation is not complying with regulations. Personal data is anything written, printed or electronic, by which an individual can be identified, whether on its own or in conjunction with additional information from elsewhere. Examples include name, email and/or postal addresses, telephone number(s), and bank and/or bank and payment card details.
Lawful Basis for Processing Your Data
The keeping and use of personal data is a “legitimate interest” of the Club under GDPR, so consent is not required from members as it is deemed to have given such consent by application for membership.
Membership Data
The Club is run by a committee of members and operates under the terms of the Rules Of The Conway Club. A copy of these rules can be found on this website here.

How we Collect your Data
Members’ data is collected initially through membership of the Club. Additional data may be supplied by members, orally, in writing or via electronic means. This may be either by provision by the member or at the request of the Club for legitimate reasons.
How we Keep your Data
Your data will be kept securely. This is either as hard copy in locked storage or electronically on secure servers. The information is used to mail copies of the Club magazine, The Cadet, to members and for legitimate correspondence between the Club and its membership. The information will not be passed to third parties without your permission unless required by law. We do not sell, give or transfer personal data to any organisations for any purposes except as above.
What Data do we Keep and What do we Use it For
We keep data to provide services to members, such as details of events, instructions for trips. We also promulgate details of The Cadet, AGM and dinners, barbecues and Club merchandise.
How Long do we Keep your Data
Personal data is private and valuable and for this reason, it is only kept for its likely period of usefulness. Your data will be removed upon terminating your membership.
Your Rights to Control your Data
You have a right free of charge (except in circumstances allowed by the GDPR 2018), to request the data held about you, to update or correct your data, to remove your data or to request us at any time to stop contacting you.
